Why Excel is no longer sufficient for managing a town’s or municipality’s assets
Excel is one of the most widely used tools for recording information. In many local authorities, however, it still serves as the main database for municipal assets. As the volume of data increases, however, its limitations are becoming increasingly apparent.
Today, towns and municipalities manage a large number of buildings, plots of land, facilities, roads and technical infrastructure. Each property is associated with documents, technical specifications, contracts, inspection reports, photographs and investment plans. Storing this information in spreadsheets is inefficient and often results in data becoming out of date.
The biggest problem, however, remains the lack of spatial context. Whilst the table contains information about the property, it does not provide a clear picture of its location or how it relates to other properties.
Digital records offer a new perspective
SMARTmap allows each object to be displayed directly on the map, together with all relevant data. The user has immediate access to the object’s location, its documentation, maintenance history and planned investments.
All information is centralised and accessible to authorised users without the need to search through separate files or records.
Key benefits
- accurate record-keeping of assets
- easy access to documents
- an overview of investments and revisions
- more effective cooperation between departments
- elimination of duplicate data
